Bullhorn Staffing Software

I currently manage three separate Bullhorn instances across three different companies, overseeing all aspects of system administration and optimization. My responsibilities include contract management, integrations, automations, front- and back-office workflows, user setup and configuration, onboarding, customizations, and overall support. I also manage all integrated partners, serving as the primary liaison between them and the ATS to ensure seamless collaboration. My focus is on creating streamlined workflows with Bullhorn partners that drive efficiency across every department within the organizations.
I am especially excited about upcoming projects that involve integrated AI technologies and enhanced partner integrations designed to deliver a better user experience for both recruiters and back-office teams.
To stay ahead of industry trends, I regularly attend staffing conferences where I engage with vendors, colleagues, and other Bullhorn clients. These experiences allow me to bring back actionable insights and innovative solutions to leadership. A key area of focus for me has been automation. After transitioning from Herefish to Bullhorn Automation, we achieved significant improvements across all three companies. Today, users can parse resumes with a click, send texts or calls directly from profiles, use templates for placements and job orders, run automated campaigns to track follow-ups and tasks, integrate calendars across Bullhorn, Outlook, and Teams, and deliver tailored onboarding documents to candidates—among many other efficiencies.
My ultimate goal is to empower end users to work entirely within the ATS without needing to toggle between multiple systems. Through strategic integrations, proper training, and a focus on eliminating unnecessary steps, I’ve helped recruiters and back-office staff create more “wins” in their daily work. As a result, these Bullhorn instances have scaled significantly, enabling teams to be more productive while giving management clearer visibility into business performance.

Seamless ATS Migration: From On-Prem Avionté to Cloud-Based Bullhorn
Migrating to a new Applicant Tracking System (ATS) requires careful planning, collaboration, and execution to ensure a smooth transition and maximize long-term benefits. Below is an overview of a successful migration project I led:1. Project PlanningRecognizing the need to modernize our ATS, we partnered with Bullhorn to create a comprehensive project plan. This included defining scope, timelines, role assignments, and contract negotiations. I coordinated closely with stakeholders to maintain alignment and clarity at every stage.2. System ConfigurationOnce the plan was finalized, we configured Bullhorn to meet our organizational requirements. This phase involved user demos, feedback sessions, and system customizations. In parallel, I established new API integrations with our VoIP provider, web hosting service, Office 365, and Linked RSC—capabilities our previous ATS lacked. These integrations significantly enhanced system efficiency and functionality.3. Data MigrationAfter configuration and data mapping were approved, we migrated data from Avionté to Bullhorn. This included completing API integrations and conducting extensive testing to validate data accuracy and system performance. My team dedicated several weeks post-migration to monitoring, troubleshooting, and ensuring seamless continuity of operations.4. User TrainingWith testing completed, I organized comprehensive training using a “train-the-trainer” model. By empowering super users and department leads, we ensured every team had direct support during rollout. This approach drove faster adoption and confidence in the new system.5. Go-LiveFollowing our planned roadmap, we officially transitioned from Avionté to Bullhorn. The migration delivered a seamless launch, improved data management, enhanced user experience, and significantly streamlined recruitment operations. The new system continues to drive greater productivity across the organization.

Avionte "On-Prem" Applicant Tracking System
I implemented and managed an on-premises instance of Avionté, a comprehensive staffing software solution. When I joined a recruiting firm in 2008, my primary responsibility was to oversee the implementation of a new Applicant Tracking System (ATS) along with the supporting infrastructure for file sharing and email. The goal was to “build an on-prem solution that could run everything with minimal hardware.”
After mastering Avionté, I became the primary support resource for the ATS, handling all aspects of the system—from front-end user support to accounting integration and back-end troubleshooting. I consistently sought opportunities to optimize workflows and improve overall system efficiency.
To stay current and expand my expertise, I regularly attended Avionté Client Connect events and industry conferences. I also managed vendor relationships, including negotiating and maintaining service contracts across multiple business functions.
Beyond ATS management, I was responsible for the company’s IT infrastructure, focusing on uptime, availability, and efficiency. I designed a virtualized environment using a single Hyper-V server and a VMware server to host SQL Server, Web Server, Application Server, File Server, dual Domain Controllers, Backup Server, Remote Terminal Servers, and a Fax Server—all within just two physical servers. This robust, scalable design minimized hardware requirements while enabling future growth.
I also implemented a Cisco-based network with gigabit switches and a fiber backbone to ensure optimal data flow, as well as a VPN solution that allowed remote employees and the sales team to securely access the database in the field or after hours.
For temporary workers, remote staff, and payroll self-service, I deployed Avionté’s web-based features—including online time cards, pay stubs, and W-2s. Because the infrastructure was designed with scalability in mind, these enhancements came at no additional cost, saving the accounting team significant time and effort while improving convenience for employees and clients.
Throughout my career, I have gained extensive experience with applicant tracking systems, including planning, managing, and migrating databases. I have also overseen the planning, deployment, and maintenance of both physical and virtual IT environments, with a strong focus on monitoring, documentation, and continuous improvement.
